How NoticeWindow handles your renewal data.

Plain English summary of how files are processed, how AI is used, where data is hosted and what you control. We only list things that are technically true today.

Uploaded files

You control what files are uploaded and what renewal details are saved. We hold the structured renewal record you confirm, not the original file.

AI suggestions are reviewed before saving

AI suggests supplier, value, renewal date, notice period and owner. Your team reviews and confirms every field before anything is saved as a renewal.

You control what is saved

Nothing is saved until you confirm. Records can be edited or deleted at any time. Workspaces can be wiped from Settings.

Export and deletion

Export every record to CSV at any time. Delete individual records, or delete an entire workspace. Cancelled workspaces become read only and stay exportable.

Encryption

Encrypted in transit (TLS) and at rest. Database backups are encrypted by the hosting provider.

EU hosting

Hosted in the EU. UK GDPR conscious. DPA available on request.

Sub processors

We use a small set of sub processors for hosting, payments (Stripe), email delivery and AI inference. The current list is available on request.

No AI training on your records

Your renewal records and uploaded files are not used to train AI models.

Audit trail

Every renewal has a decision history: who decided what, and when. Useful for handovers, reviews and renewals you need to justify later.
